The Case for Executive Assistants

Among the most striking details of the corporate era depicted in the AMC series Mad Men, along with constant smoking and mid-day drinking, is the army of secretaries who populate Sterling Cooper, the 1960s ad agency featured in the show. The secretary of those days has gone the way of the carbon copy and been replaced by the executive assistant, now typically reserved for senior management. Technologies like e-mail, voice mail, mobile devices, and online calendars have allowed managers at all levels to operate with a greater degree of self-sufficiency. At the same time, companies have faced enormous pressure to cut costs, reduce head count, and flatten organizational structures. As a result, the numbers of assistants at lower corporate levels have dwindled in most corporations. That’s unfortunate, because effective assistants can make enormous contributions to productivity at all levels of the organization.

At very senior levels, the return on investment from a skilled assistant can be substantial. Consider a senior executive whose total compensation package is $1 million annually, who works with an assistant who earns $80,000. For the organization to break even, the assistant must make the executive 8% more productive than he or she would be working solo—for instance, the assistant needs to save the executive roughly five hours in a 60-hour workweek. In reality, good assistants save their bosses much more than that. They ensure that meetings begin on time with prep material delivered in advance. They optimize travel schedules and enable remote decision making, keeping projects on track. And they filter the distractions that can turn a manager into a reactive type who spends all day answering e-mail instead of a leader who proactively sets the organization’s agenda. As Robert Pozen writes in this issue: A top-notch assistant "is crucial to being productive."

That’s true not only for top executives. In their zeal to cut administrative expenses, many companies have gone too far, leaving countless highly paid middle and upper managers to arrange their own travel, file expense reports, and schedule meetings. Some companies may be drawn to the notion of egalitarianism they believe this assistant-less structure represents—when workers see the boss loading paper into the copy machine, the theory goes, a ―we’re all in this together‖ spirit is created. But as a management practice, the structure rarely makes economic sense. Generally speaking, work should be delegated to the lowest-cost employee who can do it well. (I)................. companies have embraced this logic by outsourcing work to vendors or to operations abroad, back at headquarters they ignore it, forcing top talent to misuse their time. As a longtime recruiter for executive assistants, I’ve worked with many organizations suffering from the same problem: There’s too much administrative work and too few assistants to whom it can be assigned.

Granting middle managers access to an assistant—or shared resources—can give a quick boost to productivity even at lean, well-run companies. Firms should also think about the broader developmental benefits of providing assistants for up-and-coming managers. The real payoff may come when the manager arrives in a job a few levels up better prepared and habitually more productive. An experienced assistant can be particularly helpful if the manager is a new hire. The assistant becomes a crucial on-boarding resource, helping the manager read and understand the organizational culture, guiding him or her through its different (and difficult) personalities, and serving as a sounding board during the crucial acclimation. In this way, knowledgeable assistants are more than a productivity asset: They’re reverse mentors, using their experience to teach new executives how people are expected to behave at that level in the organization.

What is administrative excellence?

Administrative Professionals perform some of the toughest functions in an office. Not only are you required to keep pace with ever-changing technology, you need to work with and through many people to meet deadlines, resolve conflicts, gather information, and coordinate schedules and logistics. Additionally, you are often the first point-of-contact for customers – your competence and professionalism in meeting their demands might be one of the most important factors in how your organization is perceived in the marketplace. To satisfy the needs of so many, your technical skills and your interpersonal skills must be well-balanced to generate efficient and effective results.

Administrative excellence pertains to the quality of work and the caliber of service that you provide in carrying out your responsibilities. Excellence by definition exceeds the routine expectations of managers, coworkers, and other customers, but it is a standard first set by you. It is something that many aspire to and work hard to deliver. I once read that excellence means "you are better today than you were yesterday, but not as good as you will be tomorrow." With that understanding, you can see there is no finish line. Excellence is a commitment to continually do and give your best.

Although we each have personal standards and differing values in terms of excellence, there are a few things that help to streamline administrative efforts in reaching high levels of job performance. Here are what I considered to be the "5Ps" of administrative excellence:

1. Perception Self-awareness of behaviors and skills that maximize strengths and minimize weaknesses.

Know yourself and what you like and what you dislike about your job. Pay attention to those activities that excite and engage you. Typically, these are things that come naturally or easily for you – your strengths. Find opportunities to do more of what you love to do – you’ll be happier and more satisfied with your work. Take control and find solutions for those parts of your job that are less fulfilling so that your emotions and attitude don’t work against you.

2. Purpose – Understanding the importance of job responsibilities and identifying with the overall objectives of the team, department, and organization.

It’s one thing to know how to do your job, but it’s more important to know why you do what you do. Understanding your role in the bigger picture of organizational success helps to ignite feelings of inclusion and professional pride.

3. Progress – Ability to think progressively for continuous personal and professional improvement.

Challenge yourself to try new things and new ways of doing routine things. Don’t let yourself stagnate or become too comfortable – seize opportunities to showcase your skills or push self-imposed limitations. People rarely gain a professional edge when others can’t see or don’t know what they are capable of achieving.

4. Partnership – Willingness and ability to foster good relationships and teamwork with coworkers, managers, and customers.

Good relationships are the foundation for resourcefulness in your job. Treat others with respect. Do what you say you will do, offer to help others, exhibit a sense of urgency in responding to requests, and extend common courtesy – when others reciprocate, a trusting partnership is formed.

5. Professionalism – High standards of appearance, personal conduct, work product, and expertise.

Don’t leave doubts in the minds of others. Match image with skills and knowledge to help shape the thoughts and experiences of others. Continue to learn and produce accurate, timely work and your reputation and credibility will "speak for itself."

There are many other measurements of excellence. Find things that are unique about you and make your pathway to excellence your own. No one else will do it or achieve it in exactly the same manner. It’s often the small things that make a person stand out in a big way. Several years ago, a manager described his admin’s stellar performance in this way, "I don’t know how else to explain it…everything she does for me comes back just a little bit better than I expected it to." That’s a strong endorsement for administrative excellence – a little effort, a lot of admiration.

It is also a passionate sermon against the dangers of political innocence. The passage in which the loyal but stupid workhorse Boxer is sold to be turned into glue, hides, and bone meal because he is no longer useful is written out of a controlled and icy hatred for the cynicism of the Soviet system – but also out of despair for all deluded people who served it gladly.

Maybe because it gilds the philosophic pill with fairy-story trappings, Animal Farm has had an astonishing success for a book rooted in politics. Since its first publication at the end of World War II, it has been read by millions. With 1984, published three years later, it established Orwell as an important man of letters. It has enriched modern political discourse with the observation that “All animals are equal, but some animals are more equal than others.” How did we ever grasp the true nature of the politics of uplift before Orwell explained it so precisely?

George Orwell is the pen name of Eric Blair, the son of a colonial official with long service in British India. Eric was educated as a scholarship boy at Eton and seemed to be miserable there most of the time, largely, one guesses, because of the money gap that divided him from so many of his well-heeled schoolmates. His dislike of the moneyed classes in turn influenced him toward a lifelong loyalty to democratic socialism. After Eton he went to Burma as a member of the Imperial constabulary and had the enlightening experience of discovering he was hated by the Burmese people as a symbol of British Imperialism. Hating the work himself, he quit and went back to England to try making a living by writing.

During the years when he was not very successful, he began to devote himself to work for British socialism. Afterwards he said he had never written anything good that was not about politics. Before he went to work on Animal Farm, his books were well enough received by the critics but sold modestly.

Those old enough to remember the wartime spirit of the 1940s may be startled to realize that Orwell started work on Animal Farm in 1943. As he discovered when he went looking for a publisher, Stalin’s Soviet Union was so popular that year in Britain and America that few wanted to hear or read anything critical of it. It was as though a great deal of the West had willingly put on blinders, and this was because the Red Army that year had fought the Nazis to a standstill and forced it to retreat. Suddenly Hitler’s army, which had looked invincible for so long, had begun to look vincible.

In this period the air on both sides of the Atlantic was filled with a great deal of justifiable praise for the Soviet people and their fighting forces. Stalin’s political system, with its bloody purges and police-state brutality, was an important beneficiary of all this. Looking for a publisher for his small book, Orwell was reminded that British socialists, who idealized the Russian Revolution, had never been hospitable to critics of the Soviet Union. In 1943, however, even conservatives were pro-Soviet.

It became hard to write candidly of the Soviet system without being accused of playing dupe to the Nazis. Orwell discovered how hard when he began receiving publishers’ rejections on Animal Farm. With its swinish communists, the book seemed heretical. As no wonder. Stalin and Trotsky, after all, were unmistakably Orwell’s feuding pigs, Napoleon and Snowball. It was not until the war had ended that Frederic Warburg finally published it, on August 17, 1945.

Why talk about language teaching methods at all? At the same time, a method is more abstract than a teaching act, which is a one-time event that can be recorded on videotape and on the neurocortexes of learners.

Is it possible to evaluate or to profit from an approach without embodying it in some kind of (50) ? Possible, perhaps, to some limited degree, but not easy.

Is it possible to improvise teaching acts apart from some more or less conscious approach? Possible, perhaps, but rare.

“Method,” then, seems to occupy a strategic mid-position between approach and (51) . For this reason, whoever would either think usefully about teaching or would teach thoughtfully can profit from learning about methods.

Teaching Children Literacy Skills in a Second Language

In recent years, there has been increased focus on the teaching of reading and other literacy skills to children, both in North America and abroad. Part of this may relate to the recognition that reading is probably the most important skill for second language (L2) learners in academic contexts, and part of it may come from an increase in the numbers of children worldwide who are learning English as a second or foreign language (hereafter ESL or EFL). It may also be a result of the recent implementation of standards in much of public education in the United States and Canada, a movement built upon the belief that basic literacy instruction should be a fundamental component of public education.

Another possible factor contributing to an increased focus on literacy instruction to children in EFL contexts may be the growing numbers of countries that are moving toward making English language instruction mandatory from a younger age. Given the portability of books and other reading materials (as well as the increasing availability of reading material over the Internet), reading is gradually being recognized as a valuable source of language input, particularly for students in learning environments (as in some EFL contexts) in which fluent speakers of English are generally not available to provide other kinds of language input.

Notions of literacy are expanding as well. Although many different definitions of literacy can be found in the literature on the subject, and reading still seems to be primary to most of them, the teaching of writing and oral skills is increasingly being integrated with reading instruction for both native English speakers (NES) and English language learners (ELLs). Many of the new standards, both for ELLs and NES children, also integrate expectations for the development of all four language skills — reading, writing, listening, and speaking. In fact, increasingly, the large-scale standardized tests ask students to bring together all of these skills, requiring students to demonstrate competence in synthesizing information from multiple sources, or bringing information they have heard or read into written.

South Africa told to end canned lion hunting

A motion to terminate the hunting and breeding of captive lions and other predators in South Africa has been approved by the IUCN World Conservation Congress currently underway in Hawaii.

The motion requests the prohibition of the hunting of captive-bred lions under any conditions and also states that breeding should only be allowed at “registered zoos or facilities that demonstrate a clear conservation benefit”.

The passing of this motion has come at a critical time as despite more than 20 years of campaigning by local and international activists and organizations to bring an end to these practices, the industry has shown steady growth over the last decade.

Currently there are more than 180 facilities holding approximately 7000 predators used for a variety of commercial purposes, including captive or ‘canned’ hunts.

Although basic legislation is in place to regulate the captive keeping and hunting of lions in South Africa, IUCN members have acknowledged that the SA government has had limited legal scope available to terminate “canned” hunting altogether and are hoping the guidelines set out in the motion will assist them to revise legislation.

“The Department (of Environmental Affairs) will consider the implications associated with the motion; engage the relevant IUCN members and then take appropriate actions, guided by its legal mandate,” says Albi Modise.

Adding to further implementation, amendments to TOPS (Threatened or Protected Species) Regulations will be published early next year which are expected to include prohibiting the introduction of wild lion to captive breeding facilities and the captive breeding of lion if no conservation benefit can be demonstrated.

While the passing of this motion is significant, it is only the first step of what could still be a tricky process.

With Brazil in Turmoil, Rio Counts Down to Olympics

RIO DE JANEIRO- Brazil's president is facing impeachment. The country's economy is in sharp decline. Bodies of water that will be used for Olympic competitions are polluted, and global public health officials are trying to tamp down the Zika virus epidemic.

With less than 100 days before the Olympic Games come to South Amarica for the first time, Rio de Janeiro faces more than the usual challenges that bedevil host cities, like delayed stadium construction and transportation concerns. (Rio has those, too.) The mood here, however, is hardly one of panic. Officials in charge of executing the Summer Games say they feel insulated from Brazil's turmoil at this late stage. The Olympics, after all, tend to exist in their own bubble, elaborately coordinated to ensure that the multibillion-dollar operation goes off smoothly. "The machine is in place, and it's relatively stable," Ricardo Leyser, Brazil's sports minister, said in an interview this week. "My biggest concern isn't any individual issue. lt's the small demands that all come at once."

Local organizers are beginning to lay colorful comforters patterned with the silhouettes of cartoon cyclists, fencers and swimmers - on the twin beds in the athletes' village. They are monitoring the growth of 14-month-old grass that will be transplanted to Maracanã, the storied soccer stadium that will also be used for the opening and closing ceremonies. They are pulling trash from Guanabara Bay, where the Games' sailing events will be held; mopping up standing water to minimize mosquito breeding; and ramping up a round-the-clock security operation - all while publicly expressing little worry about the unrest encircling them.

On Wednesday, with the handoff of the Olympic flame in Greece and the start of a journey that in little more than a week will bring it to Brazil, the official countdown to the Aug. 5 opening ceremony began. 

ln Rio, the race to be ready is intensifying, with construction workers here still laboring on mass transit projects that were key promises seven years ago in the city's bid to host the Games. Costing several billion dollars, those projects include a new subway line and express bus lanes that connect the Olympic Park in Barra da Tijuca to the rest of the city, which is expected to swell with more than half a million visitors.

As the value ofthe Brazilian real has drastically declined overthe last year, some have expressed doubt that the transit projects will materialize beyond the sleek, modernist weather shelters that have been built at various stations. At a news conference Wednesday, the city's secretary of transportation said the new routes would be ready i n ti me but did not specify when. To the vast majority of people watching the Games on television, however, such infrastructure may not matter.

The permanent venues for competitions here are mostly complete - all but those for tennis and track cycling - and athletes from around the world have competed in dozens of test events in Rio in recent months. "lt's about the filling of the cake," Mr. Leyser said. "lt's not about the stadiums; it's about the scoreboards."

As ofthe latest counts, 62 percent ofthe 5.7 million tickets on the market had been sold - roughly half of the total tickets for the Olympics - and 24 percent of tickets available for the Paralympics had been sold. Questions of corruption have extended to Olympics planning, particularly after a businessman who worked on many Olympic projects in Rio was convicted of corruption and money laundering related to separata contracts. Mr. Leyser said that the questions centered on irregularities at the Deodoro event site and that no publicofficial had been accused ofwrongdoing. "lt's more an administrativa issue than a corruption scheme," he said. "lt's basically a question ofthe numbers." Mr. Leyser called the devaluation of Brazil's currency an opportunity because it increases the buying power of foreign money coming into Brazil forthe Games.

But not everyone sees the event as a boon to the country. Shirlei Alves, who lives in the Santa Marta favela of Rio, criticized the government for spending on the Olympics in the face of Brazil's problems.

"The world is just getting worse here," Ms. Alves said, noting that she was without medication and electricity. "The government is making a mistake. l'd like if they'd take a better look at the poor people and not help people who are already rich." Eduardo Paes, the mayor of Rio, said Wednesday that the city had a "comfortable financial situation" and had spent on stadium construction 1 percent ofwhat it spent on health education. "I know people are skeptical," Mr. Paes said, citing the "huge deliverables" for the Olympics. "Of course the situation here has been difficult. But there is a commitment of the Brazilian state to deliverthe Olympics."

Perhaps the most vexing issue for local organizers-the one that may stir anxiety among athletes and spectators - is the mosquito-borne Zika virus, which has been linked to birth defects and temporary paralysis. Zika is of greater concern outside Rio, in the far north part of Brazil, but the World Health Organization has declared the virus a global public health emergency and has advised pregnant women notto travei anywhere in Brazil.

"The Olympics is a pretty effective way of taking whatever disease is local and making it global," said Ashish K. Jha, director ofthe Global Health lnstitute at Harvard.

Some scientists have suggested that by the time the Olympics start in August - wintertime in Brazil, when mosquitoes are less numerous - the virus might be more prevalent in the southern United States.

"Zika's been spreading effectively on its own, but there's very good reason to think the Olympics will accelerate the spread," Dr. Jhasaid.

But the virus poses a unique problem because it isso far beyond the contrai of local organizing officials, and so many questions about it remain unanswered. Few athletes have publicly expressed concern, but it is unclear how many might withdraw as the Games draw closer.

"At this point you just keep going," David Wallechinsky, an Olympics historian, said. "You have to continue as if everything's going to be fine. These are real concerns - Zika, the water quality. But even if Dilma is forced out of office, it's not going to stop the Olympics."

The International Olympic Committee (IOC) will mount a unique team of refugee athletes which will compete in Rio. It has been a long journey from central Africa and from a war that has claimed an estimated 5.4 million lives. Mabika, now 28, cannot hold back the tears when she remembers the brothers and sisters she has not seen since 1998, when she was evacuated from her home town to the country’s capital, Kinshasa. It was there, as a child, that she first took up judo. Misenga’s mother was murdered when he was just six years old. The young child wandered for days in the Congolese rainforest before he too was rescued and taken to Kinshasa. Like his compatriot, he soon took to judo, a sport which the Congolese government saw as an ideal way of giving some structure to the lives of the country’s countless orphans. In 2010, Misenga won a bronze medal at the under-20 African Judo Championship. But Misenga and Mabika said training conditions were excessively rigorous, with losing judokas beaten and locked in cells. At the 2013 World Judo Championship, Misenga took the opportunity to begin a better life. After escaping from the team hotel, a couple of days later Misenga found himself in the favela community of Cinco Bocas in northern Rio, home to most of the city’s Congolese community of some 900 people. He sent Mabika a message and she also decided to stay. Life in northern Rio has not always been easy for the judokas. It has been a story of odd jobs and informal employment.The two athletes are now training three times a week at the Instituto Reação. The learning curve has been steep. Geraldo Bernardes, the veteran coach of the Brazilian team in four Olympic Games, says that Misenga and Mabika were initially far too aggressive in training. “They were used to being punished and mistreated when they lost,” Geraldo explains. “I had to tell them that training and fighting are different things.”

I can feel in my body that I have learnt what was missing before in my judo.” Their coach says the two judokas are rough diamonds and are still making up for the lost time in their training. What are the origins of the English Language?

The history of English is conventionally, if perhaps too neatly, divided into three periods usually called Old English (or Anglo-Saxon), Middle English, and Modern English. The earliest period begins with the migration of certain Germanic tribes from the continent to Britain in the fifth century A.D., though no records of their language survive from before the seventh century, and it continues until the end of the eleventh century or a bit later. By that time Latin, Old Norse (the language of the Viking invaders), and especially the Anglo-Norman French of the dominant class after the Norman Conquest in 1066 had begun to have a substantial impact on the lexicon, and the well-developed inflectional system that typifies the grammar of Old English had begun to break down.

The influence of French (and Latin, often by way of French) upon the lexicon continued throughout this period, the loss of some inflections and the reduction of others (often to a final unstressed vowel spelled -e) accelerated, and many changes took place within the phonological and grammatical systems of the language.
The period of Modern English extends from the sixteenth century to our own day. The early part of this period saw the completion of a revolution in the phonology of English that had begun in late Middle English and that effectively redistributed the occurrence of the vowel phonemes to something approximating their present pattern.
Other important early developments include the stabilizing effect on spelling of the printing press and the beginning of the direct influence of Latin and, to a lesser extent, Greek on the lexicon. Later, as English came into contact with other cultures around the world and distinctive dialects of English developed in the many areas which Britain had colonized, numerous other languages made small but interesting contributions to our word-stock.
The historical aspect of English really encompasses more than the three stages of development just under consideration. English has what might be called a prehistory as well. As we have seen, our language did not simply spring into existence; it was brought from the Continent by Germanic tribes who had no form of writing and hence left no records. Philologists know that they must have spoken a dialect of a language that can be called West Germanic and that other dialects of this unknown language must have included the ancestors of such languages as German, Dutch, Low German, and Frisian. They know this because of certain systematic similarities which these languages share with each other but do not share with, say, Danish. However, they have had somehow to reconstruct what that language was like in its lexicon, phonology, grammar, and semantics as best they can through sophisticated techniques of comparison developed chiefly during the last century.
Similarly, because ancient and modern languages like Old Norse and Gothic or Icelandic and Norwegian have points in common with Old English and Old High German or Dutch and English that they do not share with French or Russian, it is clear that there was an earlier unrecorded language that can be called simply Germanic and that must be reconstructed in the same way. Still earlier, Germanic was just a dialect (the ancestors of Greek, Latin, and Sanskrit were three other such dialects) of a language conventionally designated Indo-European, and thus English is just one relatively young member of an ancient family of languages whose descendants cover a fair portion of the globe.

You build multitasking skills

Multilingual people, especially children, are skilled at switching between two systems of speech, writing, and structure. According to a study from the Pennsylvania State University, this “juggling” skill makes them good multitaskers, because they can easily switch between different structures. In one study, participants used a driving simulator while doing separate, distracting tasks at the same time. The research found that people who spoke more than one language made fewer errors in their driving.

You stave off Alzheimer’s and dementia

For monolingual adults, the mean age for the first signs of dementia is 71.4. For adults who speak two or more languages, the mean age for those first signs is 75.5. Studies considered factors such as education level, income level, gender, and physical health, but the results were consistent.

Your memory improves

Educators often liken the brain to a muscle, because it functions better with exercise. Learning a language involves memorizing rules and vocabulary, which helps strengthen that mental “muscle.” This exercise improves overall memory, which means that multiple language speakers are better at remembering lists or sequences. Studies show that bilinguals are better at retaining shopping lists, names, and directions.

Your decision-making skills improve

According to a study from the University of Chicago, bilinguals tend to make more rational decisions. Any language contains nuance and subtle implications in its vocabulary, and these biases can subconsciously influence your judgment.
